Warehouse File Tracking Software for NHS Prescription and Claims Processing

The NHS Business Services Authority (NHSBSA) is seeking to procure a Warehouse File Tracking Solution to replace their existing contract (ending 30 September 2026) that enhances visibility, accuracy, and operational control across warehouse scanning operations. The solution will support two NHSBSA sites at Greenfinch Way and Bridge House, serving approximately 42 staff members processing around 19,000 records monthly including prescriptions, medical exemption applications, and dental claims. Key requirements include: tracking files from receipt through scanning, storage, and destruction with performance statistics and management information at each stage; migrating over 1.8 million existing records (345,647 live and 1,455,999 archived); managing high-volume environments with sustained performance; maintaining security and confidentiality of sensitive records; and providing scalability without service degradation. The solution must go live on 1 October 2026 and operate throughout the contract term with optional extensions.
